Today we held, together with the Official College of Psychology of Tenerife, a webinar on VeriFactu with Vanessa Cantero, tax advisor and founding partner of Lidera Tu Negocio, and Nico Martín , product director at Eholo. If you couldn't make it, here is a summary of the key takeaways.
What is VeriFactu?
VeriFactu stems from European regulations, hand-in-hand with anti-fraud legislation. Its goal is to strengthen the integrity and traceability of billing processes. As Vanessa explained, it is important to understand that the obligation falls primarily on billing systems (like Eholo) rather than directly on the taxpayer—though, obviously, we all (advisors, software providers, and clients) must work together on this transition.
An important nuance: billing regulations themselves have not changed. What has changed is that the computer system will no longer allow you to do what you technically should never have done—such as deleting or altering an already issued invoice. Previously, this was common practice (you made a mistake, deleted it, and reissued it); now, errors must be corrected without deleting or altering the original invoice.
Key dates: when it becomes mandatory
The deadlines were pushed back by one year from the original schedule:
- Corporations/companies: mandatory starting from January 1, 2027
- Freelancers: mandatory starting July 1, 2027
The key takeaway: the voluntary period is your safety net
The most repeated point during the session:
"Since we are in a voluntary period, any mistakes we make will not have any consequences from the tax authorities."
Vanessa encouraged activating it as soon as possible—"if you can do it tomorrow, better than the day after"—precisely so you can make the usual adjustment errors now, at no cost, instead of waiting until it becomes mandatory.
However, she clarified an important point: although the tax office does not currently have standardized penalties for this system (because it is so new), there can still be requests for information —which is the technical term for what we colloquially call an "audit"—where the Tax Agency asks for additional information to verify that everything is in order.
Specific keys for psychologists
- Summary invoice: the healthcare sector (unlike others) can group all sessions for the same patient within the same month into a single invoice—never by quarter. This is a feature Eholo is known for, and it remains valid.
- Invoice types: exempt (with the mandatory VAT exemption statement), simplified (no ID required, only valid for patients within Spanish territory), and full (with all details, including postal code—mandatory for patients outside Spain).
- If the service is VAT-exempt, the statement indicating this is essential so the tax authorities understand why the tax has not been applied.
Do I still need my tax advisor?
Vanessa was clear: VeriFactu does not replace your advisor; quite the opposite. The tax authorities will have much more information than before, so having someone to review your specific case (especially in less common situations) is more important than ever, not less.
