Google Calendar works. Excel works. WhatsApp for confirming appointments works. Initially, when you have ten or fifteen patients and your week is manageable at a glance, generic tools cover what you need.
The problem arises when your practice grows, last-minute changes come in, patients don't show up without notice, sessions overlap, and payments are forgotten. At that point, the tools that once sufficed start creating more work than they save.
If you manage your practice with Google Calendar, Excel, or a notebook, and every week you spend time chasing appointments, resending reminders, or manually reconciling payments, you're probably at the point where an online scheduling system specifically for psychologists would save you real hours. A patient cancels on Monday morning. The free version of Google Calendar does not sign a data processing agreement for health data, nor does it offer role-based access control. If you only use it as a scheduling tool (without patient clinical data in appointments), the risk is lower. If you include full names, reasons for consultation, or clinical notes, it's advisable to use a tool designed for the healthcare sector.
