Practice closed in August, inbox full in September: how to manage the avalanche of accumulated messages

You return from vacation feeling refreshed... but your inbox is about to explode. WhatsApp, email, Instagram DMs, missed calls, and that one patient who messaged three times "just in case you didn't get it." It’s the classic back-to-school scenario for any psychologist in private practice: August ends, but people's needs don't take a vacation.

The good news is that this moment, while stressful, is predictable. And what is predictable can be planned for. Here are a few ideas to tackle your return without letting the first day of September become the most chaotic day of the year.

Why so much piles up in so little time

It’s not just the volume of messages; it’s the mix. In that inbox, you have a combination of:

  • Regular patients wanting to resume sessions
  • New people who found you over the summer and are waiting for a reply
  • Urgent inquiries that can't wait any longer
  • Administrative reminders (invoices, renewals, paperwork)
  • Follow-up messages from those who already wrote once and didn't get a response

Treating every message with the same level of urgency is a recipe for burnout. The key is to categorize before you respond.

A simple method to organize the chaos

1. Do a read-only first pass. Before replying to anything, spend 20-30 minutes reading (not answering) all your messages. The goal is to get a complete picture of what’s waiting, rather than putting out fires one by one as they come in.

2. Sort into three blocks. Urgent (well-being at risk, crises), priority (active patients resuming their process), and informational (general questions, initial inquiries, administrative matters). With this simple division, you’ll know exactly where to start.

3. Respond first with a "bridge" message. You don't need to resolve everything in the first contact. A brief message confirming you've received their communication and providing an approximate response date significantly reduces the sender's anxiety and takes the pressure off you.

4. Schedule before you fill your mental calendar. As soon as you know which patients are returning, block out their slots immediately. It’s much easier to organize your return with a semi-filled schedule than to scramble to fill gaps as people message you.

5. Don't let administrative tasks compete with clinical work. Billing, new registrations, or insurance paperwork can wait a day or two without any issues. What cannot wait is the person who needs to know that someone has listened to them.

How to prevent it from happening again

Beyond the first-week "sprint," there are habits that can cushion this annual peak:

  • An automated notice before closing in August, indicating return dates and what to do in case of an emergency, reduces the number of follow-up messages sent "just in case." You can create a reminder template with Eholo to store this information so it doesn't pile up.
