Checklist of what must be included in the migration

  • Complete medical records, including session notes
  • Contact details and files for every active patient
  • Signed informed consents
  • Invoiced and pending billing, with accurate status tracking
  • Schedule of confirmed appointments
  • Partially used session vouchers or packages

If these six points are secure, everything else can be adjusted on the fly without any real risk.

Common mistakes when switching software

  • Canceling your previous software before confirming that everything has been exported correctly.
  • Migrating everything at once without prioritizing clinical and urgent data.
  • Failing to check legal retention periods for medical records before deleting anything.
  • Assuming the calendar will "just sort itself out" and discovering appointments that were left behind.
  • Not assigning a team member to be responsible for the process in practices with multiple professionals.
